Always follow the university’s information processing instructions when saving work files. See also this instruction: Personal file storage locations.
When needed, you can encrypt your files, read more: File encryption.
The university offers the tools and storage spaces for the handling of the files needed in the work. If you process your own private files or messages, keep them apart from the work data. Create a separate folder for them, the name of which distinctly tells about the privacy of the contents such as for example “private” or “yksityinen“.
In this instruction are the following common, or shared, storage spaces described:
- UO staff network drives S: and Y:
- Oamk staff network drive
- M365 workspaces
- Google workspaces
- Virtual servers
UO staff network disks S: and Y:
The university accounts are connected to shared disk spaces whose access rights are restricted automatically according to the person’s cost pool. New groups can be formed based on demand, but disk space cannot be shared with parties external to the university.
- The S drive is a shared network drive of the faculty or unit, including a free 1 GB quota per user. The S drive is meant for shared internal use by the faculty in question.
- The Y drive is a shared network drive of the university to which university students can also get access. The Y drive is intended for working groups between faculties or units and/or students.
Disk spaces S and Y are located on servers administered by ICT Services. If more storage capacity is needed, the unit may order it from Campus ICT for 0.15 € / 1 GB / year.
When you are outside the university network, you can use the network disk spaces through a VPN connection. Read more: FortiClient installation and VPN connection.
The network drives are backed up every day. The back-ups are stored for 180 days. In addition, copies are made of files so that users may restore earlier versions of files themselves. These copies are stored at ICT Services for one month.

Oamk staff network disk
The Oamk network disk is only available to Oamk staff.
The disk space is on servers maintained by the ICT Services. When you are outside of the college network, you can access network disk spaces with a VPN connection. Read more: FortiClient installation and VPN connection.
Network disks are secured on a daily basis. The storage period for backup recordings is 180 days. In addition, older versions of the files are recovered, from which users can restore the desired versions themselves. These copies are stored in the ICT Services for one month.
The network disk must be linked (“map”) to the computer before it can be used.
Linking/mapping instruction for a Windows machine:
- Open File Explorer/Resurssienhallinta and rewind to This PC/Tämä tietokone.
- Right-click it and select Map network drive/Yhdistä verkkoasemaan from the menu.
- In the window that opens, select the available network drive letter under Drive/Asema.
- Under Folder/Kansio, type the path of the resource to be associated with the drive letter: \\kaappi.oulu.fi\oamk$ (you can continue with the path by typing the name of the folder, if you know it).
- If you want the same resource to be associated with the following logins, tick Reconnect at sign-in.
- If you are on a machine other than Oamk machine, tick Connect using different credentials.
- Finally, press Finish. The desired resource will now appear on your machine as a network resource if your rights were in order. If you are on a non-university computer, please provide your user account and password.

M365 workspaces
The teamwork platform of Microsoft 365 (for example, Teams and SharePoint) provides both storage space and tools for shared use by teams. The teams can be organisational teams, but they can also be freely formed for all kinds of teamwork needs.
The teamwork platform can be accessed through the M365 service. Its access right is tied to the university or Oamk MS account.
In the M365 service, there are no traditional backup copies available to ICT Services or the user, so be careful about what you delete or replace. You can restore files removed from the workspaces within 90 days provided that your user account is valid.

Google workspaces
The teamwork platform of Google Workspace for Education (GWE) service provides both storage space and tools for shared use by teams. Teams can be freely formed for teaching use and other teamwork needs.
The service is in use for all the staff and students of Oamk. The staff and students of UO must activate the service by themselves, and it is only done once. The service can be taken into use with the form http://u.oulu.fi/gsuite.
When you have access to the GWE service, please log in here: http://edu.oulu.fi/
In the Google service, there are no traditional backup copies available to ICT Services or the user, so be careful about what you delete or replace.

Virtual servers
Virtual server space can be acquired from both ICT Services and external service providers such as CSC’s IDA service and CSC’s ePouta service.
