Classroom AV technology for hybrid events

A hybrid-equipped classroom means a room where the AV technology makes it possible to arrange an event where some of the participants are present in the classroom, while some attend the event from somewhere else.

Teacher: You can list all the hybrid-equipped classrooms in Peppi.

  1. First, connect your laptop to the dock with an USB-C cord. The cord is marked as “telakka” (=dock in Finnish).
    • Some class room have a Clevertouch interactive display. If you want to use it, you must connect your laptop to the display with a HDMI-2 cord and a USB cord: You’ll find the cords behind the display.
  2. If the classroom doesn’t have a control panel (a small touch screen on the desk in front of the classroom), please jump to item 6 on this list.
    However, if the classroom has a control panel, a small touch screen. Touch it and Choose start (aloita).

    • In the home view, you can specify the image source to be displayed with the video projector.
    • Audio is turned on automatically, except for the microphone up in the ceiling:
      • Possible separate microphones are intended for the classroom only, so those will not work for the remote participants. The remote participants will hear the voices from the ceiling microphone, when it’s on. By default, the ceiling microphone is not on, see item 5 for how to turn it on.
    • Video projector will power on and show the default view (the dock).
    • When you select the image source of the projector in this view, the image is visible only to participants in the classroom. If there ate remote participants, they will only be able to get the view shared to them with Teams or Zoom: if your camera is on, the remote participants will see its image, as well as any screen sharing you’ve made. If all participants are in the classroom, it is enough to adjust in this view what is displayed with a video projector:
      • Dock (default: Your PC)
      • HDMI2 (a separate video source, e.g. a separate HDMI2 camera attached to the HDMI2 port)
      • Clevertouch (only possible if the mode has a Clevertouch interactive display)
  3. Adjust the sounds with the microphones (mikrofonit) button
    • Start using the wireless microphone by lifting it from the microphone dock and wait about 20 seconds. During this time, a green light will light up in the microphone and after that it will be available for use. N.B. The wireless microphone does not transmit sound to potential remote participants, but only improves the audibility of your voice in the classroom. In a hybrid event, all the sounds in the classroom are intended to be transmitted to the participants only through the ceiling microphone. Read more about this in item 5 of this guideline.
  4. If there are remote participants, open the Teams or Zoom meeting on your laptop, using the link which you have shared with the remote participants.
    • A participant present in the classroom might also want to go to that Teams or Zoom meeting, e. g. to access the chat, or to see the shared screen from their laptop screen: Please, instruct all participants in the classroom to turn off their audio equipment if they join the Teams/Zoom meeting, to prevent possible echoes and audio feedback loops in the classroom.
  5. Press the hybrid teaching (hybridiopetus) button and you will enter the hybrid teaching menu.
    • In the image source menu, you can see all the source options available to you connected to the dock via USB Capture HDMI. Control the image source in this menu and choose USB Capture HDMI as the image source in your Teams/Zoom session to transfer the chosen image source to remote participants.
    • When any one of the image source options is selected, the ceiling microphone turns on automatically.
      • However, if the remote participants tell you that the sound quality is poor, it is most likely that the ceiling microphone did not turn on even though it should have, and the sound is transferred through your laptop’s microphone. In this situation change the audio source in the settings of your meeting software.
  6. In the meeting app (Teams/Zoom) on your own laptop, you can choose one of the following as the video source:
    • Integrated camera, this is your laptop’s built-in camera. Choose this if you are using your laptop with its own keyboard and mouse and at the same time want to show your face to remote participants.
    • Konftel Cam20, i. e. a separate camera on its own tripod, which can be a part of the classroom equipment. It will be enabled on your computer once you have connected your own computer to the classroom’s AV system. (This type of camera is not available in all hybrid-equipped classrooms.) This camera is especially suitable if you speak in front of the hall and want the participants to see you. You can move and adjust the camera quite freely.
    • USB Capture HDMI if the classroom has a control panel.
      • USB Capture HDMI is the image source which you select through the control panel’s hybrid mode menu as explained in the item 5 of this list. The image source can be e.g.
        • Clevertouch interactive display, or
        • a general-view camera if such a camera is available in the classroom and it is connected to the AV system.
        • For example, if you want to transmit the Clevertouch display to remote participants,
          1. select USB Capture HDMI as the camera in Teams or Zoom and
          2. set Clevertouch as the image source on the classroom control panel’s hybrid teaching menu.
  7. If you want to share your computer screen with remote participants, do it through Teams or Zoom screen share.
    • If the classroom does not have a control panel, you can use the classroom audio and ceiling microphone, when you choose the options starting with Dante for your microphone and audio devices.
    • NB. if there is a control panel, make sure that you have an image source selected in the hybrid teaching menu of the control panel, because that enables the ceiling microphone.
