The IT devices in your use (laptop or desktop computer, display, dock, mouse, keyboard etc.) have been assigned for your use only. You cannot transfer a computer to another person’s use without updating the user’s name and the device’s location to the university’s device register. Your data privacy will come true in the best possible way when you give the computer only to Campus ICT of the university or it’s contract supplier Netox. This way the necessary register information of the device in question will also be updated.
Before turning over your computer
1. Recover your necessary files from the computer
- If you receive a new computer, be sure to recover the files on the hard drive of the old computer. These might include browser bookmarks (favorites), files, images, etc.
- If the files are on a network drive or in cloud service, they do not need to be copied because of device change. However, make sure your files are synchronized to OneDrive or can be found on your K network drive.
- If your employment is ending, recover your personal files. Discuss with your supervisor about whom to transfer the files and e-mails relating to your work tasks to.
2. Remove your data on a hard drive
- If the device is replaced by Campus ICT or it’s subcontractor, your old device will be reset appropriately.
- If you turn over or leave the computer to another person, make sure that data privacy requirements are met! The best way is to contact Campus ICT and let a professional re-install the operating system, which will also remove the data processed by you from the hard drive.
3. Give the device wholeness
- Collect all the accessories which belong to the device in question to wait for the turning over. Do not forget the cord!
4. Is this a device replacement?
- Replacement means that the loan period for the former computer is running out and you have ordered a new service device to replace it. It is common practice for Netox to contact and agree with you when and where the device exchange takes place.
- If you have a working point on campus, make sure that the equipment exchange is carried out there. Otherwise, agree to return the old device to Netox Campus (Linnanmaa campus, Paavo Havaksen tie 5 E) and get a new device from there.
5. Will you hand over the device before its loan period runs out?
- This is the case, for example, when your job or employment contract ends.
- Return the service device to Netox Campus (Linnanmaa campus, Paavo Havaksen tie 5 E).
- In both cases, give your name, cost pool and office information so that the information can be updated to the device registers that the device is no longer in your possession.
- The computer will be emptied by professionals and reinstalled for the next possible user.
6. If the user of the device changes without reinstalling, make sure that Campus ICT (ict@oulu.fi) is informed of the transfer. Necessary information:
- Identification data of the device: workstation name, device serial number
- Your name and office
- The next user’s contact information: name, e-mail, phone, office, cost pool.
Import Google Chrome bookmarks and settings to a new device
Turn on sync
You can use all bookmarks, settings and passwords stored on the Chrome browser if you enable Chrome synchronization before handing over your old device. You can see and update your synced info on all your devices, like bookmarks, history, passwords, and other settings.
- Google Chrome Instructions: Get your bookmarks, passwords & more on all your devices. The site includes instructions for choosing what info is synced and how to create a passphrase.
- To turn on sync, you’ll need a Google Account. You can use Google Workspace for Education account. Right to use this Google service is bound to the university’s user account. If you don’t have a Google account in use, please see the instruction: Google Workspace for Education.
- NOTE! Only turn on Chrome sync with devices you own or are on your personal use. If you’re using a public computer, use guest mode instead.
- When you turn on sync, all your profile information is saved to your Google Account. If you don’t want to sync everything, you can change what info is saved.
- You can keep your info private using a passphrase. With a passphrase, you can use Google’s cloud to store and sync your Chrome data without letting Google read it. Passphrases are optional. Your synced data is always protected by encryption when it’s in transit.
Import bookmarks and settings (without synchronization)
If you do not want to use synchronization, you can transfer your saved Chrome bookmarks and settings to your new device or another browser. Depending on the browser, settings may include, for example, browsing history, default page, bookmarks, default search engines, and saved passwords.
