Eduuni service support page



The Eduuni service provided by ICT Services will end on 31 December 2027. These workspaces will be converted to read-only mode on 31 December 2026. This will prevent the creation of new workspaces and the editing of existing ones. If needed, you may continue using your workspace by changing the Eduuni cost centre or by moving the stored data to an alternative location. Please note, when planning to move or delete data, that statutory and organisation-defined retention periods must be met. Check the Information Management Plan (IMP) (PATIO) to ensure you move the data to an appropriate storage location based on its content. You can find instructions on handling information assets in Patio, as well as guidance on changing the cost centre and other required actions, on this page.

FAQ

  1. How do I know whether this affects my workspace?

    If your Eduuni workspace is at https://tt.eduuni.fi and it starts with the OU prefix, e.g., https://tt.eduuni.fi/sites/ou-tyotila.

  2. Why is this being done?

    There is old and forgotten data in the workspaces. The law requires that data is not kept indefinitely, but is deleted appropriately. ICT Services has also provided the Eduuni service to the entire University of Oulu since 2014 and has so far covered the costs. Now, the costs will be allocated to the users.

  3. Who can help with moving our workspace?

    Contact CSC customer service by email at customerservice@eduuni.fi. They will help with changing the cost centre or with data migration actions. Any possible costs arising from the data transfer (e.g., consulting) will be charged to the cost centre of the workspace owner. Please also note that each Eduuni customer account must have designated admins and administrative contact persons who are responsible for managing the account.

    Staying in the Eduuni-workspaces service:

    If sites are not migrated anywhere and you continue using the Eduuni-workspaces service, changes to customer accounts will not cause additional costs. There will be no extra costs for moving sites to another customer account as long as the site URLs can be kept the same.

    Moving to the Eduuni Cloud service:

    Option A: Start from scratch (start with a new, empty workspace)
    – Possible without additional costs

    Option B: Migrate the existing site collections to the cloud
    – In this case, the work will be billed as Eduuni consulting according to the actual hours (Eduuni price list). For a small migration (1–5 sites), it typically takes about 8–20 hours. The required time depends greatly on the amount of content and any special requirements.

  5. How much are the workspace costs after the cost centre change or migration?

    You can find the prices in the Eduuni price list.

  6. If I choose to move the materials myself from the Eduuni workspace, when can I start and what should I take into account?

    You can start immediately. However, note that after the transfer it is still possible to add data to the workspaces until they are switched to read-only mode. You can prevent new data being added by deleting the workspace from Eduuni after the migration. Inform ICT Services of the new data location by email ict@oulu.fi.

  7. Do I need to inform the other users of our Eduuni workspace?

    Yes. This affects everyone who uses the current workspace.

  8. What will happen to the workspaces and the information assets after 2027?

    The starting point is that there will be no data stored in ICT Services’ Eduuni by the end of 2027. If this is not the case, any remaining data will be permanently deleted and will no longer be accessible.

  9. What if I am unable to do anything about this?

Lifecycle of Atlassian Data Center products and transition toward the cloud

Eduuni Wiki and Eduuni Jira run on Atlassian Data Center products, whose lifecycle will end in phases by spring 2029.
We closely monitor Atlassian’s guidance and will inform our customers well in advance about upcoming changes. We will ensure that the licenses for Eduuni services remain sufficient throughout the entire lifecycle.
At the same time, we are exploring integrating Atlassian Cloud products as part of the Eduuni Cloud service, so that our customers can move to the cloud in a controlled and secure manner. The assessment work is currently undergoing a data protection impact assessment, after which we will proceed to technical testing.
In addition, we are mapping alternative on-premise solutions for organizations whose data cannot be moved to the cloud due to location requirements.
