Zoom online meeting tool

Zoom is an online meeting tool used at the University of Oulu and Oulu University of Applied Sciences for studying, teaching, research, staff meetings and other work. Limited personal use is permitted.

The University of Oulu and Oulu University of Applied Sciences use Zoom meetings and webinars. Both have a maximum capacity of 500 participants.

Signing in to Zoom

We recommend using Zoom primarily through the Zoom Workplace app. The app offers better functionality and security than the browser version. Sign in to Zoom using your organisational credentials (SSO).

Signing in with the Zoom Workplace app

  • Open Zoom Workplace.
  • Select Sign in with SSO.
  • Enter the organisation’s domain: oulu.
  • Sign in with your organisational user account.

Signing in with a browser

  • Select Sign in.
  • Sign in with your organisational user account.

The first time you sign in, Zoom may ask you to accept the terms of service and privacy statement.

Creating a meeting

In Zoom, you can start a meeting immediately or schedule it for later. You can also create recurring meetings (Recurring Meeting) if you meet regularly. The meeting link then remains the same.

  • New Meeting starts a new meeting immediately.
  • Schedule lets you schedule a meeting in advance. Set the meeting time and other settings, then save the meeting.
  • You can also create a Zoom meeting from your Outlook calendar using the Zoom add-in.

Securing a meeting

  • Passcode is enabled automatically for all Zoom meetings at the University of Oulu and Oulu University of Applied Sciences. The passcode is included in the meeting link, so participants joining via the link do not usually need to enter it separately.
  • Waiting Room lets you admit participants to the meeting only after you have approved them.
  • Authentication lets you restrict participation to signed-in users if needed.
  • Use a permanent Personal Meeting ID only for personal meetings. For privacy reasons, recurring meetings such as teaching sessions should use changing meeting links.

Recording a meeting

You can record a Zoom meeting in the cloud (Cloud Recording) or locally on your computer (Local Recording). We recommend using Cloud Recording.

At the University of Oulu and Oulu University of Applied Sciences, Zoom cloud recordings are automatically transferred to Panopto, where you can manage and share them.

Zoom recordings in Panopto

  1. Sign in to Panopto using your MoodleID or EntraID credentials.
  1. Your Zoom cloud recordings are in the Meeting Recordings folder.
