Recording a Zoom meeting and managing the recording in Panopto

This guide explains how to record a Zoom meeting and find the recording in Panopto for editing and sharing.

Recording a Zoom meeting

We recommend recording Zoom meetings to the cloud whenever possible, as processing a local recording on your computer is prone to interruptions, and a corrupted recording usually cannot be recovered. Cloud recordings are automatically transferred to Panopto, where you can review and edit the recording, correct the captions and set viewing permissions.

Before recording, consider whether a recording is necessary. Inform participants in advance that the meeting will be recorded, and follow your organisation’s data protection, information security and recording guidelines.

Record a Zoom meeting to the cloud

Zoom automatically transfers cloud recordings to the Meeting Recordings folder in Panopto. The recording does not take up space on your computer, and you do not need to leave your computer on while it is being processed.

You have two user accounts in Panopto: an EntraID account and a Moodle account. Your Zoom recording is transferred to the Meeting Recordings folder of one of these accounts. If you cannot find the recording, switch to the other account and check the folder again.

Start and stop cloud recording

You can record a meeting in the Zoom Workplace app or in a browser. We recommend using the Zoom Workplace app, as it provides the most comprehensive meeting management and recording features and generally the best audio and video experience. Use a browser if you cannot use the app.

  1. Open the meeting as the host or a co-host in the Zoom Workplace app or in a browser.
  2. Remind participants that the meeting will be recorded before you start recording.
  3. At the bottom of the meeting window, select Record, then Record to the Cloud. If you cannot see the Record button, it may be in the More menu.
  4. Select Pause Recording before any parts of the meeting that should not be recorded. Select Resume Recording to continue recording.
  5. Select Stop Recording when the part you want to record has ended.

Note: In breakout rooms, the recording follows the host.

Find the recording in Panopto

The recording will not be available immediately after the meeting ends. Transferring it from Zoom to Panopto and processing it for viewing may take some time. Processing time depends on factors such as the length of the recording and the load on the service. Look for the completed recording in the Meeting Recordings folder in Panopto. If necessary, check both your Entra ID account and your Moodle account.

Use local recording only when necessary

Use local recording only if cloud recording is not suitable for your situation. Bear in mind that recording on your computer is prone to interruptions, and a corrupted recording usually cannot be recovered. Local recordings are saved on your computer in the folder specified in the Zoom app’s Recording settings. Upload the finished video to Panopto for editing, captioning, storage and sharing. Delete the local copy when it is no longer needed.

Finalise and share the recording in Panopto

  1. Review the content of the recording before publishing it.
  2. Cut out any unnecessary or confidential material, or any sections that do not belong in the recording.
  3. Check and correct the automatically generated captions.
  4. Set viewing permissions according to the agreed target audience for the recording.
  5. Share the Panopto link with participants instead of sending the file.
  6. Delete the recording when it is no longer needed for its intended purpose or when the retention period set by your organisation expires.

Archiving and deleting Panopto recordings

If a Panopto video has not been viewed for 18 months, it is automatically archived. If the video is not restored from the archive or viewed during the following 18 months, it is automatically deleted. A video may therefore be automatically deleted no earlier than 36 months after it was last viewed.
